This Privacy Policy explains how Motus Healthcare Ltd. ("we", "us", "BeSeenFast") collects, uses, shares, and protects your personal data when you use the BeSeenFast website and services (the "Platform"). We comply with the General Data Protection Regulation (EU 2016/679) and the Data Protection Act 2018.
1. Who We Are (Data Controller)
Motus Healthcare Ltd. is the data controller for the personal data processed through BeSeenFast, except where noted below (for clinical records created by a Provider, the Provider is the controller; we process those records as data processor on their behalf).

2. Personal Data We Collect
Account data: name, email, mobile phone, role (patient, provider, care home operator, medic), password (hashed), and for Medics: hospital, department, CORU number, professional body and registration number, HSE email.
Family member data (if you add them): name, relationship, date of birth, medical card number, insurance provider and policy number.
Appointment and enquiry data: Provider or care home selected, date, time, service, reason for visit you share, patient notes, family member assignment, status.
Clinical data (where applicable): visit notes (clinical, prescription, referral, follow-up) and receipts created by a Provider. For this data, the Provider is the controller and we act as processor.
Payment data: we do not store full card details. Stripe processes payments on our behalf and returns a payment identifier and status.
Usage and technical data: IP address, device/browser (user agent), pages you view, actions you take, logins, email deliveries (recipient, subject, delivery status, bounce/open/click).
Communications: support messages you send us and emails we send to you.
3. Special Category (Health) Data
Some of the data you share — for example, the reason for a visit, insurance policy details, or visit notes — concerns your health and is "special category" data under GDPR Article 9. We process this data on the legal bases in Article 9(2)(h) (provision of health or social care, treatment, or management of health or social care systems under contract with a health professional) and, where relevant, Article 9(2)(a) (your explicit consent, which you can withdraw at any time).
4. How and Why We Use Your Data (Legal Bases)
- To provide the service — create your account, forward appointment requests to Providers, facilitate payments, show confirmations and reminders. Legal basis: performance of a contract (Art 6(1)(b)).
- Platform security and fraud prevention — login logging, rate limiting, blocking abusive accounts. Legal basis: legitimate interests (Art 6(1)(f)) in keeping the service safe.
- Analytics and improvement — aggregated usage analytics to improve the Platform. Legal basis: your consent for analytics cookies, otherwise legitimate interests in a secure and useful service.
- Marketing communications — product updates and relevant offers. Legal basis: your consent, which you can withdraw at any time via the unsubscribe link in any marketing email.
- Legal and regulatory compliance — responding to lawful requests, maintaining records for tax and company law. Legal basis: legal obligation (Art 6(1)(c)).
5. Who We Share Data With
Providers and care homes: when you request an appointment, we share the details necessary for the Provider to respond — your name, contact details, selected service, date/time, and any notes you add.
Processors acting on our behalf:
- Microsoft Azure (Ireland / EEA) — hosting, database, storage.
- Stripe Payments Europe, Limited — payment processing. Subject to Stripe's own Privacy Policy.
- Brevo — transactional and marketing email delivery.
- Google Ireland Limited — Google Analytics, subject to your cookie consent.
Authorities: we may disclose data where required by law, court order, or to protect the rights, property, or safety of our users or others.
We do not sell your personal data.
6. International Transfers
Your data is primarily hosted within the European Economic Area. Some of our processors (for example, Google and Stripe) may transfer data outside the EEA. When they do, they rely on mechanisms recognised under GDPR — Standard Contractual Clauses, adequacy decisions, or equivalent safeguards — to protect your data.
7. How Long We Keep Your Data
- Account data: for the life of your account plus 7 years after closure, to meet legal and accounting obligations.
- Appointment records and receipts: 7 years from the appointment date (Revenue record-keeping requirements).
- Marketing preferences and unsubscribe records: indefinitely, to respect your choice.
- Security and abuse logs: up to 24 months.
- Unconfirmed appointment requests: up to 90 days, then deleted.
8. Your Rights
Under GDPR you have the right to:
- Access the personal data we hold about you.
- Correct data that is inaccurate or incomplete.
- Have your data erased, where legal grounds allow.
- Restrict or object to certain processing.
- Receive your data in a portable, machine-readable format.
- Withdraw consent at any time, without affecting the lawfulness of processing before withdrawal.
- Lodge a complaint with the Irish Data Protection Commission (details below).

9. Children's Data
The Platform is not intended for use by children under 18. Parents or guardians may, however, add their children as family members on their own account in order to book healthcare for them.
10. Security
We use industry-standard security measures: encryption in transit (TLS), encryption at rest for our Azure SQL database and storage, hashed passwords (bcrypt), access controls, logging, and regular reviews. No internet service is 100% secure — we will notify you and the Data Protection Commission in the event of a personal data breach that is likely to result in a risk to your rights and freedoms.

We use cookies and similar technologies to operate the Platform, understand usage, and (with your consent) measure marketing performance. See our Cookie Policy for full details, and use the cookie banner to set your preferences at any time.
12. Changes to This Policy
We will update this Policy from time to time. When we make material changes we will update the "Last updated" date above and, where appropriate, notify you by email or in-product notice.
